Factory Pencil by Pencil Hatch Book a demo
■ Built for furniture factories

One system from enquiry to dispatch

Factory Pencil connects quotations, purchase, store, production, quality and dispatch in one place — so a confirmed order reaches the shop floor as a printed job card without anyone typing it twice.

Your own database, your own subdomain. Hosted in Mumbai, backed up nightly with a weekly restore drill.
§01Flow
Customer → production timeline

Four handovers, none of them on paper chits

Every stage hands the next one structured data, not a WhatsApp message. Nothing moves forward without the approval the stage before it owes.

Stage 01

Customer order & approval

Itemised quotation, validity date, structured approval, then one-click conversion into a confirmed sales order.

Hands over → Confirmed order
Stage 02

Planning & allocation

Material allocated against the model BOM, production scheduled, work orders raised — including in-house orders for stock build-up.

Hands over → Production order
Stage 03

Manufacture & QC

Job cards reach each department at once. Stage-wise tracking, in-process monitoring, quality checkpoints signed off on the floor.

Hands over → Signed job cards
Stage 04

Completion & dispatch

Finished goods confirmed, outgoing QC cleared, inventory updated, and the order marked ready for delivery coordination.

Hands over → Dispatch-ready stock
§02Modules
What's in the system

Eight modules that already know about each other

Licensed individually, so you can start with the store and switch on production later. The data model is shared from day one, so nothing has to be reconciled when you do.

Quotations & orders

Itemised quotations against customer requirements, through approval, into confirmed orders.

  • Magic-link sharing, no login, PDF download
  • Validity periods with automatic expiry
  • One-click quotation-to-order conversion

Store & inventory

Real-time stock levels, item movement and material availability across every factory store.

  • Incoming and outgoing material control
  • Low-inventory alerts before the floor stops
  • Stock updates only after QC clearance

Purchase & vendors

Compare vendor quotes for the same material side by side, then convert the winner into a PO.

  • Price, quantity, lead time and terms in one view
  • Lowest-cost vendor flagged automatically
  • Every comparison kept against the PO

Quality control

Four gates: incoming material, QC manager approval, controlled receiving, outgoing goods.

  • Rejected material flagged and held for vendor action
  • No movement without recorded clearance
  • QC sign-off required before dispatch

Production planning

Orders converted into structured production plans, started and tracked inside the system.

  • In-house orders for stock build-up
  • Stage-wise tracking with quality checkpoints
  • Priority handling for urgent orders

Job cards

One production order generates a separate card for every department, simultaneously.

  • Only that shop's materials and operations
  • Finish spec per component, per department
  • Printed A4 and digital, both with sign-off

BOM & costing

A bill of materials built once per model, with a cost sheet that follows every revision.

  • Cost sheet auto-updates when the BOM changes
  • Order-level cost projected from model cost
  • Printable cost report for costing audits

Dashboards & alerts

Role-based KPI widgets, module-wise visibility, and the alerts that need nobody watching.

  • Customisable management dashboards
  • Daily attendance mail to your own admins
  • Low stock and vendor credit reminders
§03Shop floor
Department-wise job cards

The carpenter never reads the polish spec

One production order, six cards, generated together. Each department gets exactly its own materials, operations and checks — and nothing else. That is the difference between a system a factory uses and one it prints and ignores.

  • 01Shop-specific contentNo information overload on the floor — only what that department has to do.
  • 02Finish specification per departmentFinish type, colour code, sheen level, application method, coats and dry time, defined per component.
  • 03Built-in QC checklistDepartment-specific checkpoints that must be signed off before the job moves forward.
  • 04Print and digitalA4 sheets for the bench, the same card on screen. Operator sign-off works on both.

The system flags the lowest rate, but shows lead time and terms beside it — a ₹15,000 saving is the wrong call if the line stops for eight days. The planner decides; the comparison is kept against the PO either way.
Vendor quote comparison

Procurement decisions with the evidence attached

Quotes for the same material, from every vendor, in one view. Accept one and it becomes a purchase order — no re-entry, and the comparison stays on the record.

  • ASide-by-side comparisonPrice, quantity, lead time and terms for each vendor, on one screen.
  • BBest price recommendationThe lowest-cost vendor per item is highlighted automatically, removing the manual arithmetic.
  • CQuote-to-PO conversionAccept the preferred quote and the purchase order is raised from it directly.
  • DAudit trailEvery comparison and selection recorded against the PO, for full procurement accountability.
§05Shape
How the system is built

The numbers that matter are structural

Not growth charts — the counts that decide whether the system holds together on a working floor.

1
BOM per model, reused automatically across every production order for it
6+
Departments served by one production order — carpentry, metal, upholstery, paint, assembly and more
4
QC gates between a vendor's truck and your customer's delivery
0
Times an approved quotation has to be re-typed to reach the shop floor
§06Licensing
Commercials

Modular licence, annual term, hosting included

Start with the modules you need now. Add the rest without a migration, because there is nothing to migrate to.

Licence

Priced by module

A base licence plus the modules you switch on — store and inventory is the usual starting point, production and job cards the usual second step. Larger pieces such as the cutting-sheet optimiser are priced separately so the boundaries stay clean.

Hosting

Bundled into the term

Your own subdomain and your own database, on infrastructure in Mumbai. No separate cloud bill, no shared tables with another manufacturer. Nightly encrypted backups with a weekly restore drill, not just a backup job nobody has ever tested.

Setup

Configured to your factory

Departments, machines, shifts, user roles, models and BOMs set up to match how you actually work — not a generic ERP you bend yourself around. Onboarding time depends on how much of your master data already exists in usable form.

§08Questions
Before you ask us on a call

Straight answers

Is this just another ERP with a furniture skin on it?

No. A generic ERP models a "work order" and leaves you to decide what that means for a polish shop. Factory Pencil is built around how furniture factories actually run: a BOM per model rather than per order, job cards split by department, finish specifications with sheen and coat counts, and QC gates at the four points where material changes hands.

Where does our data live, and who else can see it?

Each client gets its own database and its own subdomain — your data is not in a shared table alongside another manufacturer's. The servers are in Mumbai. Backups run nightly, encrypted, with a weekly automated restore drill so we know they actually work.

Can we start with one module and add the rest later?

Yes, and most factories do. Store and inventory is the common first step because it pays for itself fastest. Production, job cards and costing come next. Because the data model is shared from the start, switching on a module is a licence change, not a migration.

Does the shop floor need to be online?

Not to work. Job cards print as A4 sheets with the operator sign-off fields on them, which is how most benches prefer it. The same card is on screen for supervisors, and sign-off is supported either way — so a dropped connection in the polish shop does not stop the job.

How long does onboarding take?

The software goes up in a day. The honest answer is that the timeline depends entirely on your master data — departments, models, BOMs and finish specs. A factory with costing sheets already in order moves in a couple of weeks; one starting from a supervisor's notebook takes longer, and we would rather say so up front than discover it in week three.

What about GST, e-invoicing and e-way bills?

GST is handled correctly today: place of supply is derived from your own GSTIN and the customer's, so CGST/SGST and IGST land on the right heads — which matters, because a buyer claiming input credit against the wrong head gets the claim rejected. GSTIN verification, e-invoice generation and e-way bills are on the compliance phase of the roadmap.

Can it run on our own server?

It can. The standard contract bundles hosting because that is simpler for most factories, but the stack is ordinary — Laravel, PostgreSQL, a React front end — and an on-premise or your-own-cloud deployment is a conversation worth having if you have an IT team and a reason.

Bring one model and we'll run it through

The demo is not a slide deck. Send us one product model and a recent order, and we'll show you the quotation, the BOM, the cost sheet and the job cards it produces.

  • About 45 minutes, on a call or at your factory if you're in the NCR.
  • We use your model and your order, not a demo dataset.
  • Anything you send stays with us and isn't used anywhere else.

We reply to every enquiry ourselves. No sales sequence, no newsletter.
